League policies and waivers

The terms, privacy practices, refund terms, and participation requirements for the Gulf Coast Girls Flag Football League. Effective July 30, 2026.

Terms of Service

These Terms of Service ("Terms") govern your use of the gulfcoastflagfootball.com website (the "Site") and registration for programs operated by GCGFFL, LLC d/b/a Gulf Coast Girls Flag Football League (the "League"). By using the Site or registering an athlete, you agree to these Terms.

Eligibility

The League is open to female athletes enrolled in high school (grades 9–12) or equivalent homeschooling programs. Participation is limited to athletes who meet the age and eligibility requirements for the registered division. The League reserves the right to verify eligibility and decline or remove any athlete who does not qualify.

Registration

Registration is completed by submitting the registration form on the Site. A parent or legal guardian must complete registration for any athlete under 18 and must agree to the participation waiver and code of conduct. Submission of a registration does not guarantee placement; the League will confirm acceptance by email.

Payments

The current spring season registration fee is $300 per athlete unless a different amount is communicated in writing. Payment instructions are provided after placement confirmation. Fees are subject to the Refund Policy below.

Intellectual property

All content on the Site, including logos, photographs, team names, and text, is the property of GCGFFL, LLC or its licensors and is protected by copyright, trademark, and other laws. You may not reproduce, distribute, or create derivative works without prior written permission.

Limitation of liability

To the fullest extent permitted by law, GCGFFL, LLC is not liable for indirect, incidental, special, or consequential damages arising from your use of the Site or participation in League activities. Our total liability for any claim is limited to the amount you paid for registration.

Changes to terms

We may update these Terms from time to time. Changes are effective when posted on this page with a revised effective date. Continued use of the Site after changes constitutes acceptance of the updated Terms.

Privacy Policy

GCGFFL, LLC d/b/a Gulf Coast Girls Flag Football League respects your privacy and is committed to protecting the personal information of athletes, parents, guardians, and site visitors.

Information we collect

We collect information that you provide directly through the Site, including:

  • Athlete name, email, phone number, grade, school, and team preferences
  • Parent or guardian name, email, and phone number
  • Emergency contact information
  • Payment information (handled by our payment processor; we do not store full card numbers)
  • Messages sent through the contact form

How we use information

We use the information we collect to:

  • Process registrations and confirm placements
  • Communicate about practices, games, schedules, and League updates
  • Respond to questions and provide customer support
  • Process payments and issue refunds
  • Improve the Site and League operations

Information sharing

We do not sell personal information. We share information only with service providers that help us operate the Site and League (such as email delivery, payment processing, and website hosting), and when required by law or to protect our rights.

Data retention

We retain registration and contact information for as long as needed to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your personal information by contacting us.

Cookies and analytics

The Site may use cookies and similar technologies to understand how visitors use the Site and to improve functionality. You can control cookies through your browser settings.

Your rights

Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information. To exercise these rights, contact us at info@gulfcoastflagfootball.com.

Refund Policy

The following refund policy applies to the spring season registration fee. Refund requests must be submitted in writing to info@gulfcoastflagfootball.com.

  • Full refund: A full refund is available if the request is made before the first scheduled practice.
  • Partial refund: After the first practice begins, a partial refund may be issued for documented injuries, family relocation, or other extenuating circumstances, at the League's discretion.
  • No refund: No refunds are issued after the first regular season game has been played.
  • Processing time: Approved refunds are processed within 10–14 business days to the original payment method.
  • Non-transferable: Registration fees are not transferable to another athlete or season unless approved in writing by the League.

Participation Waiver & Release

By registering an athlete and checking the waiver acceptance box on the registration form, the parent or legal guardian agrees to the following terms on behalf of the athlete and themselves:

Assumption of risk

The parent/guardian understands that participation in flag football involves physical exertion, risk of injury, contact with other players and equipment, and exposure to weather conditions. The athlete is participating voluntarily and at her own risk.

Release of liability

In exchange for the athlete's participation, the parent/guardian releases, waives, and discharges GCGFFL, LLC d/b/a Gulf Coast Girls Flag Football League, its directors, officers, coaches, volunteers, sponsors, and agents from any and all claims, liabilities, demands, or causes of action arising from participation in League activities, including claims for negligence, to the fullest extent permitted by law.

Medical authorization

The parent/guardian certifies that the athlete is in good physical condition and has no medical condition that would prevent safe participation. In case of injury or illness, the parent/guardian authorizes League staff to obtain emergency medical treatment and agrees to be responsible for any associated costs.

Insurance

The parent/guardian understands that the League may provide supplemental accident insurance but that this does not replace the athlete's primary health insurance. The parent/guardian is responsible for ensuring the athlete has adequate health coverage.

Media release

The parent/guardian grants the League permission to use photographs, videos, and other media captured during League activities for promotional, website, and social media purposes, without compensation.

Acknowledgment

The parent/guardian has read and understood this waiver and agrees to be bound by it. If any provision is found unenforceable, the remaining provisions remain in full effect.

Code of Conduct

The League is committed to providing a positive, safe, and respectful environment for athletes, coaches, parents, and officials. All participants agree to abide by this Code of Conduct.

Athletes

  • Treat teammates, opponents, coaches, and officials with respect
  • Follow coaches' instructions and play by the rules of the game
  • Arrive on time and prepared for practices and games
  • Refrain from bullying, harassment, foul language, or unsportsmanlike behavior
  • Communicate injuries or health concerns to a coach immediately

Parents and guardians

  • Support athletes positively and let coaches coach
  • Address concerns with coaches or League staff privately and respectfully
  • Never berate officials, opponents, or other families
  • Ensure athletes arrive on time and are picked up promptly
  • Reinforce the League's values of teamwork, discipline, and growth

Coaches and staff

  • Prioritize athlete safety, development, and enjoyment
  • Model respectful behavior and fair play
  • Communicate clearly and promptly with athletes and families
  • Follow League policies and report incidents appropriately

Enforcement

Violations of the Code of Conduct may result in warnings, suspension, or removal from League activities without refund. The League reserves the right to determine appropriate consequences based on the severity and circumstances of the violation.
